Administrative Division – Overview
The Administrative Division is considered one of the key units in the college and reports directly to the Assistant Dean for Administrative Affairs. It is responsible for all administrative matters related to the college.
Organizational Structure of the Administrative Division
According to the organizational structure of the College of Architecture, the Administrative Division consists of the following units:

Incoming and Outgoing Correspondence Unit:
Responsible for issuing official letters related to the college’s correspondence with other entities, as well as receiving official mail from universities and other organizations. All incoming correspondence is recorded in an official register before being distributed to the relevant departments, divisions, and units of the college, under the supervision of the college administration. -
Human Resources Unit:
Handles all personnel transactions for faculty members and staff, monitors and updates the workforce according to any changes. It manages all administrative matters related to official correspondence with other entities and serves as a liaison between the college, its departments, divisions, and units, and other universities and governmental institutions. It also manages internal and external mail and ensures proper organization, as well as verifying the authenticity of issued documents and academic certificates.

Registration Division – Overview
The Registration Division is one of the active units in the college. It is responsible for receiving students and documenting their enrollment, making it a crucial first point of contact for students. Understanding the procedures of this division is essential for facilitating student registration at the college.
Instructions for New Students
General Admission Requirements:

Must be an Iraqi national.

Holder of an Iraqi secondary school certificate, certified by the General Directorate of Education in the governorate, or an equivalent certificate.

Must pass a medical examination according to the specific requirements of each study program. Blind students who meet the eligibility criteria for suitable humanities programs may apply through central admission.

Birth Year: Students born in 2007 or later are accepted through central admission (under 24 years of age).

Graduates from:
-
The current academic year (2024–2025).
-
The previous academic year (2023–2024) who were not admitted to any college or institute via central admission may be accepted according to the minimum requirements of their graduation year.

Must be full-time students; combining employment with daytime studies is not allowed. Government employees must obtain a study leave in accordance with applicable regulations.
Required Documents:

Certified and stamped secondary school certificate, with a colored copy.

Medical examination form in a sealed envelope, with results noted by the assigned authority. Students deemed unfit are referred to central admission for reassignment; students without the original form will not be registered. Medical form copies are not accepted. Appeals may be made to the Health Services and Insurance Department – Appeals Section / Ministry of Health.

Iraqi nationality certificate with a colored copy.

Civil status ID with a colored copy.

Ration card with a colored copy.

Residence card with a colored copy or original residence confirmation.

Four recent colored student photos.

Registration receipt obtained from the College Accounts Division after payment of fees.

For students eligible under the faculty members’ children quota, a confirmation letter with a colored copy of the faculty member’s ID and a photo must be submitted. Without this, the student will not receive the quota privilege.
Registration Procedure

After confirming their name in the admission lists, students must visit the college in person with all required documents. Delegation is not permitted. Registration steps include:

Receiving registration forms from the “New Student Reception and Registration Committee” under the Registration Division. Forms include the student file, student information form, ID request form, and academic department selection form.

Completing all forms with accurate information and submitting them to the Registration Division along with all official documents for verification and filing.

The student must personally present the file to the Director of the Registration Division to verify the accuracy of the information.

Students must complete registration procedures within two weeks of the issuance of the central admission lists; otherwise, their admission will be canceled.

After ten days of registration, a committee of faculty members from various disciplines distributes students among academic departments based on student preferences and their cumulative scores in approved subjects (Arabic, Science, Mathematics). Students choosing the Mathematics Department must pass a department-specific test.

The Registration Division issues lists of registered students, classified by department, which students then review with their respective academic departments to begin their studies.

Academic departments distribute students into study groups and sections, formally linking them to the department administration.

After distribution, the College Dean meets with new students to explain departmental communication, adherence to regulations, and encourage excellence in academic studies and collaboration with faculty.
