Mr. Assistant Dean of the College for Academic Affairs

The duties of the Assistant Dean for Scientific Affairs constitute one of the fundamental pillars of the College of Food Sciences / Al-Shirqat. This office serves as the main link responsible for monitoring conferences, seminars, workshops, and scientific activities within the college. In addition, it oversees the affairs of undergraduate and postgraduate students, ensuring their discipline during their university studies and after graduation.

The responsibilities of the Office of the Assistant Dean for Scientific Affairs include responding to incoming correspondence, monitoring student attendance and absences, ensuring adherence to the college uniform, reviewing the minutes of student disciplinary committees, coordinating the preparation of examination schedules with academic departments, and ensuring the implementation of regulations and guidelines issued by the Ministry of Higher Education and Scientific Research, in addition to the directives in force from the Presidency of Tikrit University.

Important and powers of the Assistant Dean for Academic Affairs :

  • Organizing final examination schedules in coordination with the college’s academic departments.

  • Organizing weekly class schedules in coordination with academic departments and based on classroom availability to ensure smooth operation of postgraduate studies.

  • Supervising the weekly lecture record prepared for this purpose, ensuring coverage of all scheduled hours for each course according to the applicable regulations.

  • Monitoring postgraduate student attendance and discipline in accordance with the established rules and regulations.

  • Reviewing postgraduate admission requests after their submission from the academic department and standardizing them.

  • Reviewing transfer cases for postgraduate students from other universities to the college and referring them to the relevant academic departments for consideration and communication with the concerned authorities.

  • Monitoring postgraduate students regarding their study duration and commitment to full-time study in accordance with regulations and instructions.

  • Participating in college postgraduate committee meetings when invited, to discuss postgraduate matters according to departmental specializations, ensuring proper performance; preparing the discussion statement of a postgraduate student one week prior to the defense, preparing the committee minutes, evaluating them, and submitting them to the College Council.

  • Supervising the preparation of annual and specialized statistics related to postgraduate studies in the college.

  • Delivering and receiving examination booklets according to the applicable rules.

  • Announcing examination results after approval by postgraduate committees in academic departments according to their specialization.

  • Providing academic departments with grades using a standardized form prepared for approval by postgraduate committees.

  • Coordinating with academic departments regarding the distribution of examination questions for the first and second rounds, according to the regulations applied in undergraduate studies.

  • Communicating with official authorities regarding all matters related to the academic record of postgraduate students, from registration to graduation.

  • Communicating with the University Presidency / Graduate Studies Department regarding all matters related to postgraduate student records.

  • Communicating with official authorities to obtain their formal approvals regarding attendees after their names and departments are determined by the relevant academic department.

  • Signing annual increment and promotion forms for postgraduate staff in the capacity of the senior authority.
